Once your WhatsApp is connected to an AI app, you can ask Claude, ChatGPT or Gemini to do the work you normally click through yourself: catch you up on unread chats, send a saved reply, set a follow-up, move a lead to the next stage, schedule a campaign, build an automation, create an order and send the invoice, or tell you how sales went this month. This post gives you 25 requests you can copy, sorted by job. Each one works through InboxCRM's MCP connector in your own WhatsApp Web, with no Business API.
If you have not connected yet, start with how a WhatsApp MCP server works and how to set it up. This post is part of our guide to WhatsApp CRM for small business.
Last updated 29 October 2026. The prompts were written against InboxCRM's 34 connector tools as documented on that date.
Before you start
- Reading on lets the AI see chats, contacts, orders and reports. Turn on "Let Claude read my chats and orders" on the Claude tab of InboxCRM's HTTP API window.
- Changes on lets it create, edit and delete your records, and send from them (a quick reply, an invoice, a campaign). Turn on "Let Claude change my InboxCRM".
- Sending a plain text, picture or file works with both switches off.
- Your computer stays on, with Chrome open and WhatsApp Web logged in.
In the tables below, R means it needs reading, C needs changes, and Preview means the AI shows you what would happen and waits for your yes.
Tip: Write prompts the way you would brief a new assistant: who, what, when, and what to do if something is unclear. "If you are not sure which Kamal I mean, ask me" saves a wrong send.
Catch up on your chats
| # | Ask this | Needs |
|---|---|---|
| 1 | "Which chats have unread messages? In one line each, tell me who it is and what they want." | R |
| 2 | "Read my chat with Ayesha and tell me what she is waiting for from me." | R |
| 3 | "Which customers asked about price today but did not get a reply?" | R |
| 4 | "What is scheduled for tomorrow: messages, statuses, campaigns and reminders?" | R |
The AI reads up to the last 50 messages of a chat, so it is good for "what did we last agree?" and less good for a year of history. Reading never sends anything and never marks a chat as read.
Reply faster
| # | Ask this | Needs |
|---|---|---|
| 5 | "Draft a reply to Ayesha that answers her delivery question. Show it to me before sending." | R |
| 6 | "Send Nimali my Price list quick reply." | C |
| 7 | "Make a quick reply called Delivery times: Colombo 1 to 2 days, outstation 2 to 4 days." | C |
| 8 | "Send this photo of the new stock to Kamal with the caption: Just arrived, want me to keep one for you?" | Send only |
For replies that need judgment, ask for a draft first (prompt 5). For answers you give every day, a quick reply is faster and the same every time; the AI can create and send them. More wording ideas are in WhatsApp follow-up message templates.
Never forget a follow-up
| # | Ask this | Needs |
|---|---|---|
| 9 | "Remind me on Thursday at 10:00 to call Dilan about the quotation." | C |
| 10 | "Schedule a message to Sara for Friday at 9:00: Hi Sara, just checking if you had a chance to look at the quote." | C |
| 11 | "Make a follow-up: if a lead in Quote sent does not reply in 2 days, send my Gentle check-in quick reply, then again after 5 days." | C |
| 12 | "Add a note to Dilan's chat: wants delivery before the 15th, budget around 40,000." | C |
A reminder pops up for you and sends nothing. A scheduled message goes out at the set time if WhatsApp Web is open and your sending limits allow it. Follow-ups stop on their own when the customer replies, depending on how you set them. See reactivating cold WhatsApp leads for timing that does not annoy.
Keep the pipeline honest
| # | Ask this | Needs |
|---|---|---|
| 13 | "Move Sara to Proposal on my Sales board and set the deal value to 85,000." | C |
| 14 | "Make a board called Wedding enquiries with stages New, Date checked, Quote sent, Booked, Lost." | C |
| 15 | "Which leads are still in New from last week? List them with the last message." | R |
The pipeline is where AI saves the most clicks: after a sales call, one sentence moves the card, sets the value and adds the note. Our WhatsApp sales pipeline template has stage ideas by business type.
Campaigns, statuses and lists
| # | Ask this | Needs |
|---|---|---|
| 16 | "Make a recipient list called VIP customers with Kamal, Nimali and Sara." | R, C |
| 17 | "Schedule a campaign to VIP customers for Saturday at 10:00: The gift boxes are back in stock. Reply YES to reserve one." | C, Preview |
| 18 | "Post a WhatsApp status tomorrow at 8:00 with this photo and the text: Weekend sale, 20% off all mugs." | C, Preview |
Campaigns and statuses always come back as a preview first. Campaigns are paced by your Sending safety settings (random delays, hourly and daily caps, quiet hours), and an AI cannot switch those off. Only message people who agreed to hear from you; read WhatsApp broadcast limits before your first big send.
Automations and chatbots
| # | Ask this | Needs |
|---|---|---|
| 19 | "Make an automation: when someone writes price or price list, reply with my Price list quick reply." | C |
| 20 | "Make an automation that answers messages outside 9:00 to 18:00 with: Thanks, we are closed now and will reply in the morning." | C |
| 21 | "Make a workflow from a template that asks a new lead what they need, their budget and their area." | C |
A new automation the AI creates is switched on at once, like one you save yourself; add "keep it switched off" if you want to test it first. A rule with no trigger, which would answer every message including groups, needs your yes. For the questions worth asking a new lead, see how to qualify leads on WhatsApp.
Orders, invoices and stock
| # | Ask this | Needs |
|---|---|---|
| 22 | "Create an order for Kamal Perera: 2 ceramic mugs, cash on delivery, to No 12, Temple Lane, Nugegoda. Then send him the invoice." | R, C |
| 23 | "Which products are low in stock? Add 50 units of the blue T-shirt in size M." | R, C |
The order side has its own walkthrough in managing WhatsApp orders with Claude or ChatGPT, including courier bookings and expenses.
Reports in one question
| # | Ask this | Needs |
|---|---|---|
| 24 | "How were sales in the last 30 days, and which products sold best?" | R |
| 25 | "How did last week's campaign do: how many were sent and how many failed?" | R |
Reports pull from InboxCRM's own numbers (sales, orders, payments, best sellers, expenses, the funnel and campaign results), so the AI is summarizing your data, not guessing. Ask it to put the answer in a table if you want to paste it somewhere. The numbers to watch are in WhatsApp sales funnel metrics.
Prompts that chain several steps
The real time-saver is asking for a sequence in one go. Three examples:
- Morning catch-up: "Read my unread chats. For anyone asking about price, send my Price list quick reply. For anything else, list it for me and do not reply."
- After a sale: "Kamal said yes. Move him to Won, create the order for 2 mugs at 1,900 each, send him the invoice and remind me on Monday to check payment."
- Weekly review: "List leads stuck in Quote sent for more than 5 days, draft a short check-in for each, and show me the drafts before sending anything."
Chained requests can go wrong in the middle. Ask the AI to tell you what it did after each step, and check the first few runs.
Good habits that keep it safe
- Say "show me first" for anything new. A draft costs nothing; a wrong message to a customer costs trust.
- Read every preview. Campaign previews show who gets it and when. If the list looks wrong, say no.
- Name people precisely. Two Kamals in your contacts is a real risk. Use the number or a tag when in doubt.
- Never paste instructions from customers. Chat text is customer content. Do not ask the AI to "do what this customer says".
- Check "What Claude changed". InboxCRM lists the last 100 changes made through the connector, with failures and reasons.
Where InboxCRM fits
InboxCRM is a WhatsApp CRM inside WhatsApp Web with a built-in MCP connector, so Claude, ChatGPT and Gemini can use the same pipeline, quick replies, automations, campaigns, orders and reports you use yourself. The setup takes a few minutes on the AI connector page. If you only want help writing replies inside the chat, the AI reply assistant with your own key is a simpler option that does not need the connector.
Frequently asked questions
Can I use ChatGPT with WhatsApp Business?
Yes. With InboxCRM's MCP connector, ChatGPT (in developer mode) can read your chats, send messages, and manage quick replies, follow-ups, campaigns, automations and orders in your own WhatsApp Web, without the Business API. Claude and Gemini work with the same address.
What can Claude do in WhatsApp?
Through InboxCRM, Claude can catch you up on unread chats, send texts, pictures, files and quick replies, schedule messages and campaigns, build automations and workflows, move leads in your pipeline, create orders and send invoices, update stock and expenses, and summarize your sales.
Will the AI send messages without asking me?
A single text or quick reply you asked for is sent straight away. Bulk campaigns, statuses, courier bookings and deletes first come back as a preview and only happen after you agree. Your sending limits and quiet hours apply to everything the AI sends.
Do I need to know how to write prompts?
No. Write as you would to an assistant: who, what and when. The 25 examples above work as they are; change the names, times and amounts to your own.
Can the AI reply to customers automatically all day?
The AI app only acts when you ask it. For replies around the clock, ask it to build an InboxCRM automation or workflow, which runs inside WhatsApp Web while your computer is on, even when the AI app is closed.
