The very first reply, and then the discovery call that never happens. A booked call made on DM momentum cools by the scheduled time, and the reschedule spiral starts.
Two opposite mistakes, same root. Either the pitch-switch, where a warm creator suddenly pastes a price list and a deadline and the follower feels processed. Or the free help desk, where the exact personalised advice that is the paid product gets given away in the thread, politely, for nothing.
A board that matches your job
Tag the platform the DM came from. A TikTok DM moves fast on momentum and needs a reminder; a YouTube DM arrives slower and more considered and rarely no-shows. Same board, different pacing.

Give the inbox the sorting it does not have
A DM inbox has no order number, no quotation, no booked date, so forty open chats all look identical. Drop each one on a board stage the moment you read it. That is the whole fix for the problem you cannot see: which of these is a compliment and which is a client three messages away.

Write one warm opener and stop retyping it
Save a quick reply that thanks them and asks one grounding question about where they are right now, with no price and no link. Text macros fill in the topic. The point is not speed, it is that you never reach for a pasted pitch at 11pm because you are tired.

Book the call, then protect it
Use the appointment centre for discovery calls and set a scheduled message the day before. The booking happened on emotional momentum, so the reminder is not admin, it is the whole difference between a call and a no-show. Scheduled sends need Chrome open on WhatsApp Web.

Put a boundary in your saved replies, not in your mood
Keep one quick reply that gives a small genuinely useful observation and then names plainly that the full review is the paid part. Having it saved means you answer the same way on a good day and a flat day, which is what stops the free-consult drift.

Handle the overseas DM without guessing
Add custom fields for time zone and preferred call platform. A follower in the USA or UK is not being awkward, they just cannot tell what time or currency this runs in. Answer logistics plainly first; currency does not have to be the first thing discussed.

Keep the no-ask messages as relationships
Tag pure gratitude messages and leave them there. They are not missed sales. A short thank-you and nothing else is the correct reply, and tagging them stops you from later sweeping them into something that reads as a pitch.

Discovery call invite

A DM inbox has no natural marker of who is warm, so the board is the only thing telling a compliment apart from a near-client.

I answer DMs on my phone. Does a Chrome extension help me at all?
Be honest about the split. The DM itself usually gets answered on the phone, wherever you are. InboxCRM runs in desktop Chrome on WhatsApp Web, so it is where you do the sorting, the notes and the call bookings, usually in one sitting rather than message by message. If you never open a laptop, the behaviour change matters more than the tool.
Will using saved replies make me sound like a script?
It can, if you save a pitch. Save the things you already say in your own words: the grounding question, the boundary, the call invite. The failure this trade actually has is the opposite, reaching for a pasted pitch from someone else's DM course when you are tired. A reply in your own voice, saved once, protects against that.
Should I send a broadcast to everyone who ever DM'd me?
We would not. Campaigns exist in InboxCRM for opted-in lists with conservative caps, but a broadcast is the wrong instinct for a business whose entire value is one-to-one, personality-matched trust. It models the exact tone shift that loses these followers. If you do use it, keep it to people who explicitly asked to hear about a cohort opening.
Can the AI write my DM replies?
It can draft, and only if you enable it with your own OpenRouter, OpenAI, Gemini or Groq key. Use it for logistics and admin text, not for the reply that carries your voice. The one thing a follower can detect in a single message is whether they are still talking to the person from the videos, and that judgement is not something to delegate.
Do I need the WhatsApp Business API for this?
No. InboxCRM is a Chrome extension that runs inside WhatsApp Web with your existing number, so there is no API application, no approval process and no separate platform. Scheduled messages and reminders do need Chrome running with WhatsApp Web open at the time they are due.
