Two places. The first is straight after the opening reply, before a trial day is even booked. The second is two to six weeks after sign-up, when attendance quietly stops and nobody says anything.
A price-first reply gives a hesitant person the exit they were half looking for. Later, the front desk sees who scanned in today, never who used to come in and does not any more, so a lapsing member is invisible until the renewal date passes.

Move a card the moment something real happens, not when you have time. The two stages that earn their keep here are Visited and Gone quiet, because both are invisible on a scan-in system.

Replace the price list with a question, saved once
Build a quick reply that answers the fee honestly and asks one thing back: is this their first gym, or are they moving from somewhere else. It takes the same two seconds as the price list and lands completely differently.

Keep a quick reply that states plainly what exists, whether that is dedicated hours, a separate section, or a shared floor. Vague reassurance costs you the relationship the first time they walk in.

A trial day booked in a chat thread is a trial day that gets forgotten by both sides. An appointment entry gives you the list of who is expected this week and who did not show.

Set a rule on how long a chat sits in Question asked or Visited. The card comes back to you in a few days so you can ask one gentle question instead of letting it go cold.

A follow-up rule can put the quiet member in front of you, but the message still has to sound like you noticed them, not like a system noticed them. Write it yourself and keep it short.

Member who has gone quiet
Hi [name], we have not seen you in for a while. How are things? No pressure at all, just checking in. If the timing stopped working, tell me and we will find a slot that does.

I am a personal trainer on my phone all day. Is WhatsApp Web useful to me?
It runs in desktop Chrome on WhatsApp Web, so it helps at the moments you are sitting down: setting up quick replies, reviewing the board, checking who has not been in. Replying between sessions still happens on the phone. Anything automated runs only while that Chrome window stays open.
Can I message my whole member list about a new class?
Campaigns go to lists of people who opted in, with conservative sending caps, quiet hours and a per-contact cooldown. For a timetable change that is reasonable. For someone who stopped coming it is the wrong tool, and a personal message from you will do far more.
Does it track attendance?
No. It does not read your door system or scanner and it has no idea who trained today. What it can do is hold a stage and a last-contact picture for each member, so the ones you have not spoken to in weeks are grouped in one place and you decide who to reach out to.
Can it write the replies for me?
There is optional AI reply drafting, and it runs on your own OpenRouter, OpenAI, Gemini or Groq key. Use it for logistics and scheduling text. Never let a drafted reply go out on a health or suitability question, because that answer has to come from a person who can be accountable for it.
