WhatsApp CRM for dance, music and art teachers

The parent pays, but the child is the one who has to want to come back. That makes the trial class the entire decision, and most teachers treat it as the finish line. InboxCRM sits in WhatsApp Web so the message the morning after a trial gets sent.

Written for how dance, music & art classes actually work

Kandyan and Bharatha Natyam teachers, Western and modern dance classes, keyboard, guitar, violin and voice tutors, small music academies, and drawing teachers with children and adult beginners.

Enquiry to trial is usually days. Trial to genuinely committed takes three to six weeks, or until the first recital is in sight. Message the morning after a trial, again three days later, and whenever a student misses two weeks.

January to March brings the new-year intake of beginners, Avurudu turns classes into short holiday workshops, mid-year and August bring graded exam sessions, and the December recital is the year's biggest moment.

A normal day in your inbox

  • Hi Miss, do you have a dance class? My daughter is 6.
  • Are guitar classes in the evening? Monday and Thursday are out.
  • Can we come for a trial first, to see if she likes it?
  • She passed Grade 2. Do you prepare students for Grade 3?
  • Do we buy the costume for the recital ourselves?
  • She missed last week. Is there a makeup class?

Where the deals leak

  1. Enquiry
  2. Trial booked
  3. Trial attended
  4. Enrolled
  5. Weekly classes
  6. Recital
  7. Next term

The silence after the trial. Nobody messages either way, so "let's see" quietly becomes no, and you never learn whether it was the child, the schedule or the fee.

The parent is watching the child's face on the way out, waiting to see if she asks to go back. Without a nudge they never have to decide, so they don't.

A board that matches your job

The two columns worth looking at are "Trial done" and "Gone quiet". That is where a multi-year family disappears without a complaint.

  1. Stage 1

    Enquiry

Age, level or instrument asked about.

  2. Stage 2

    Trial booked

A specific day and time is set.

  3. Stage 3

    Trial done

They came. This column should never be full on a Monday.

  4. Stage 4

    Enrolled

In a batch, first term paid.

  5. Stage 5

    Attending

Coming weekly, heading for the recital.

  6. Stage 6

    Gone quiet

Two or three weeks missed, still on the roll.

  1. 1

Book the trial as a real appointment

Put the day and time in the appointment centre when you offer it, not "come and see". A vague invitation is how a trial both sides wanted never happens at all.

  2. 2

Write the after-trial message before the trial

Schedule it for the next morning while you are still setting the trial up. Asking whether the child enjoyed it, while it is still fresh, is the message this trade most often skips.

  3. 3

Notice two missed weeks out loud

Tag the student, then send the check-in that asks if everything is fine and offers a makeup class. Group fees get paid monthly whether or not a child comes, so silence is the only warning you get.

  4. 4

Use the recital on both sides

Scheduled messages for the date, the item and what to bring, then a note to each family about next term. The recital is the year's biggest moment for keeping students and finding new ones.

The messages that stall a sale

  • I don't know if she'll like it.

    Usually means
That is the whole decision, said out loud. They want permission to try without committing.

    What works
Offer the trial as plainly as it is, and say what happens after: a quick check-in, not a sales call.

  • Will my child pass the grade exam?

    Usually means
They want proof the class is structured and legitimate.

    What works
Describe the syllabus, the practice routine and when entries are arranged. Never promise a pass or an exam board's endorsement.

  • She quit another class before. Will this be the same?

    Usually means
They are bracing for the same slow fade and asking whether anyone will notice.

    What works
Answer the real worry: a missed week or two gets a friendly message rather than silence.

  • Do we buy the costume ourselves?

    Usually means
They are scoping the total cost, not the monthly fee.

    What works
Give the full picture now: what is provided, what is bought once, what is recital-only.

Quick replies to save first

Copy these, swap the details in [brackets], and save them as quick replies so you stop retyping them.

  • Trial invite

Yes, come and try it. [Day] at [time] suits the [age] batch, and parents are welcome to watch. Nothing to decide on the day.

  • Morning after the trial

Hello, [child] came to the trial yesterday. Did she enjoy it? If you'd like to join the batch I'll keep a place, and if the timing doesn't suit, just tell me.

  • Two missed weeks

Hello, [child] hasn't been to class for a couple of weeks. Is everything all right? A break is no problem, I just wanted to check.

The parts of InboxCRM you'll use most

  • Appointment centre

Trial slots and recital dates held as real appointments with reminders.

  • Follow-up rules

Flags a trial sitting undecided for two days, and a student who has gone quiet.

  • Quick replies

Costume lists, makeup class options and a recital clip, as text, images or video.

  • Notes and tags

Age, instrument, batch day and why the child left their last class.

Questions from dance, music & art classes

Will it tell me which students are about to quit?

No. Nothing can predict that, and a tool cannot read a child's mood in the hall. What it shows you is who has missed classes and who never got a message after their trial, so the check-in gets sent while it still matters.

Does it mark attendance for me?

No. It does not take attendance and does not replace your notebook or fee sheet. You move a student to a stage or add a tag when you notice something, and the board keeps that in front of you after a busy Saturday of classes.

I run everything from my phone. Can I use this?

The extension needs desktop Chrome with WhatsApp Web open, so a phone-only setup cannot run it. Scheduled messages also need Chrome running with WhatsApp Web loaded when they are due, so schedule sends for hours when the laptop is on.

Can I send the recital reminder to the whole batch?

Yes, to a list of your own families who agreed to hear from you, and it sends slowly: conservative hourly and daily caps, quiet hours and a cooldown per contact. For a hyperlocal class a batch-sized note works better than anything wider.
