WhatsApp CRM Pipeline Tutorial

The InboxCRM pipeline is a kanban board of WhatsApp chats: each chat is a card you move between stages you name yourself.

Runs on a fictional copy of the screen with a voice guide. Nothing you click reaches WhatsApp.

What the tour covers, step by step

Turn your chats into cards on a board and move them from Lead to Won.

  1. 01

Your pipeline is a board of stages

Each column is a stage — Lead, Qualified, Proposal, Won, Lost. Each card is a WhatsApp chat parked in that stage.

    Read the narration

This is the CRM pipeline. Think of it as a whiteboard with columns. Each column is a stage in your sales process — here it's Lead, Qualified, Proposal, Won and Lost — and every card is a real WhatsApp chat parked in that stage. When you create a new board, InboxCRM offers starter templates — a sales pipeline, support tickets, or customer onboarding — so you never start from an empty screen.

  2. 02

    Stage headers

Click the name to rename, pick a colour, use the arrows to reorder. The pill shows how many chats are in the stage.

    Read the narration

Every stage header is editable in place. Click the name to rename it — it saves by itself. Pick a colour with the little swatch, and use the arrows to move the stage left or right. The number pill shows how many chats are sitting in that stage right now.

  3. 03

Add cards from your WhatsApp chats

+ Card opens a picker with three sources: Contacts, WhatsApp chats (needs WhatsApp Web open) and Manual. Tick several, then Add.

    Read the narration

To put someone on the board, press plus Card at the bottom of a stage. The picker has three sources: your Contacts, your live WhatsApp chats — which needs WhatsApp Web open in another tab — and Manual, where you type a phone number. Tick as many people as you like and press Add. You can also add a chat straight from WhatsApp Web through the chat-tools panel, without coming here at all.

  4. 04

    Drag cards between stages

Drop a card on another stage to move it there, or on another card to change the order. Watch Ravi move from Lead to Qualified.

    Read the narration

As a conversation progresses, drag the card to the next stage. Watch Ravi move from Lead to Qualified. Drop a card on top of another card to change the order inside a stage. That's the whole habit: every time you finish a chat, move the card — and you'll always know who's next.

  5. 05

    What's on a card

Initials, name and deal value. Hover for Open chat and Remove, plus quick actions: Notes, Schedule a message, Open in WhatsApp, Deal value.

    Read the narration

Each card shows the person's initials, their name, and — if you've recorded one — the deal value, which comes from the contact's profile. Hover a card for two quick buttons: open the chat, or remove the card. Underneath there's a quiet row of actions: open your private notes for this chat, schedule a message to them, jump to the chat in WhatsApp, or edit the deal value. Deal values feed the Funnel dashboard automatically.

  6. 06

    Find anyone fast

Search filters every stage at once, by name or phone number.

    Read the narration

With a busy board, use the search box. Type part of a name or a phone number and every stage filters at the same time — here only Maria, Marcus and Marta remain. Clear it to see everything again.

  7. 07

Inbox view: every chat, one list

Inbox lists every chat the extension knows with its stage pill. Filter with the chips — 'Unassigned' shows chats that aren't on any board yet.

    Read the narration

The Inbox toggle at the top switches to a list view: every chat InboxCRM knows about — your WhatsApp chats, your address book and your cards — each with a stage pill. The chips filter by stage, and 'Unassigned' is gold: it shows chats that aren't on any board yet, so nobody slips through the cracks. The refresh button pulls the latest chats from WhatsApp Web.

  8. 08

    Several boards, one funnel

Keep separate boards for sales and support. Every board feeds the Funnel dashboard, which shows conversion and revenue per stage.

    Read the narration

You can have more than one board — say one for sales and one for support — and switch between them in this rail. And here's the payoff: every board feeds the Funnel dashboard automatically, where you see how many leads reach each stage and how much they're worth.

  9. 09

    Ready to organise your chats

Open the real pipeline, create a board with starter stages, and add your five most important chats today.

    Read the narration

That's the pipeline. A good first move: open the real page, create a board with starter stages, and add your five most important conversations right now. Moving cards takes seconds, and the clarity is worth it.
