WhatsApp CRM · Clothing & Fashion Sellers
A WhatsApp CRM for online clothing and fashion sellers
Written for how clothing & fashion sellers actually work
Solo and two-person fashion pages selling ready-made clothing from Facebook and Instagram, boutique owners taking online orders alongside walk-ins, and sellers running preorder batches next to ready stock.
This is an hours-not-weeks trade. A "how much?" message often becomes a confirmed COD order inside the same conversation, so a chat that has gone quiet needs a nudge the same evening or the next morning, not on day five. By the third day the buyer has almost certainly bought the item elsewhere. The long cadence belongs after delivery instead: a check-in once the parcel arrives, then a message when stock they would like comes back.
Late March to mid-April is the biggest stretch of the year for new-collection posts, with December running a close second for party and family outfits. August and September pick up with wedding guest outfits, and June to July is the quietest patch.
A normal day in your inbox
- How much?
- Do you have my size?
- Does this come in another colour?
- Can you reserve an L for me?
- Do you do COD? How much is delivery to Kandy?
- Can you send a photo of the actual item?
- Hi, is the one I asked about last time still there?
Where the deals leak
- Boosted post
- "How much?" DM
- Size and colour check
- Payment agreed (COD or transfer)
- Address collected
- Order confirmed
- Courier delivery
The very first reply. A bare number sent back to "how much?" gives the buyer nothing to answer, so the chat goes quiet while they scroll on to the next page that posted a similar item.
The seller is usually replying between other work, often hours later at night, and typing a price is the fastest thing to do. There is also a second, quieter leak: once the parcel is delivered, that buyer is never messaged again, even when the same item comes back in stock.
A board that matches your job
Move a chat one stage at a time as you reply, so the board tells you at a glance which pieces are reserved and which parcels are still out with a courier. Deal values on the card give you the day's order total without adding anything up.
Stage 1
New enquiry
Asked about an item, size and colour not settled yet.
Stage 2
Size confirmed
You know which size and colour they want, and whether it is ready stock or a preorder.
Stage 3
Reserved
You have put the piece aside for a stated window while they decide.
Stage 4
Order confirmed
Name, address and phone number collected, payment method agreed.
Stage 5
With courier
Packed and handed over, waiting on delivery and COD collection.
Stage 6
Delivered
Money in. This is the list you message when new stock lands.

Set it up once
Everything below happens inside WhatsApp Web, on the number you already use. No API, no new inbox.
Add InboxCRM to Chrome- 1
Write the price reply once, with a question in it
Save a quick reply that names the item, gives the price and delivery charge, and ends by asking for the size. Quick replies carry images too, so the actual-item photo people ask for goes out in the same tap instead of hunting through your gallery.
- 2
Keep measurements where you can send them in a second
Label sizes do not match between local and imported stock, which is why buyers hesitate. Store your size chart as a quick reply image and put the real bust and length measurements in a text macro, so the honest answer is as fast as the vague one.
- 3
Put the reserve on a timer, not on memory
When someone asks you to reserve an L, drop the chat into the Reserved stage and add a follow-up rule so anything sitting there past your holding window comes back to you. Nothing stays quietly held for a week while the piece could have sold.
- 4
Collect the address in one message
Replace the name-then-city-then-number back-and-forth with one quick reply asking for all three at once, then save them as custom fields on the contact. The next order from that buyer starts with the address already there.
- 5
Confirm the COD amount before the courier moves
Schedule a short message for the evening before delivery that states the item, the total and the payment method. It is a cheap way to catch a buyer who has changed their mind before the parcel is already on a van.
- 6
Message the delivered list when stock lands
Tag past buyers by what they bought and what size they take. When a new batch arrives, a campaign to the buyers who opted in to updates reaches people who already trust you, sent slowly inside the sending caps and quiet hours.
The messages that stall a sale
“Any discount?”
Usually means
They are checking whether the same or a similar item is cheaper on another page before they commit. What works
Hold the price and add something real instead: faster delivery, free delivery, a small extra. Cutting the number teaches every future customer to open with the same question.“Is it original? How is the quality?”
Usually means
They want proof, not adjectives. They have heard about parcels that did not match the photo. What works
One honest sentence about the actual material or where the stock came from, plus two photos of the real piece on your table. "100% original, best quality" is exactly what a dishonest seller would also type.“I'm not sure the size will fit me.”
Usually means
Fear of ordering a size that does not fit with no easy way to fix it.What works
Send the measurements in inches rather than the label size, and state your real exchange policy if you have one. Never promise a fit you cannot confirm and never claim a policy you do not offer.“Should I do COD or a bank transfer?”
Usually means
They are working out which method is safer with a seller they have not bought from before. What works
Offer COD plainly, or bank transfer against a receipt. Refusing COD to a first-time buyer kills the sale in this market, and card numbers or OTPs should never be typed into a chat.“Let me look and get back to you.”
Usually means
Usually still comparing two or three pages, not a hard no.What works
Offer to hold the piece for a real, short window and say when that window ends. Then let the follow-up rule bring the chat back to you instead of chasing them the same evening.
Quick replies to save first
Copy these, swap the details in [brackets], and save them as quick replies so you stop retyping them.

The parts of InboxCRM you'll use most
Quick replies with images
Price, size chart, delivery charge and real product photos answered in one tap, at the same speed for the twentieth chat as the first.
Pipeline board
Reserved pieces, confirmed orders and parcels out with a courier sit in separate columns instead of somewhere in the chat list.
Contact notes and custom fields
Size, colour preference and delivery address stay on the contact, so a repeat buyer never has to send their address twice.
Follow-up rules
A chat left sitting in Reserved or New enquiry comes back to you the same day, which is the only follow-up window this trade has.
Order and delivery tracking
Keeps the COD amount, courier and delivery date against the order rather than in a notes app on your phone.
Questions from clothing & fashion sellers
I run my page entirely from my phone. Does this work for me?
InboxCRM is a Chrome extension for WhatsApp Web on a desktop computer, so you need Chrome open on a laptop or PC for it to run. Plenty of sellers in this trade are phone-only, and for them the habits on this page matter more than the tool. It fits once you are already opening a laptop for invoices, supplier orders or a marketplace account.
Can I send new-stock announcements to all my past buyers?
You can send a campaign to a list of people who agreed to hear from you, which you provide. It sends slowly by design, with caps of around 40 an hour and 250 a day by default, quiet hours and a cooldown per contact. This is not a tool for messaging strangers or scraped numbers, and pushing it that way risks your WhatsApp account.
Does it track how much stock I have left?
It does not count your shelf for you. What it does is keep the state of each conversation visible: which piece is reserved for whom, which size a buyer asked for, and which orders are still with a courier. The Reserved stage plus a note on the contact is what stops two people being promised the same L.
Where is my customer data stored?
Your CRM data, including notes, tags, stages and custom fields, is stored locally in your browser using chrome.storage.local. You can take a local backup and restore it, and encrypted cloud chat backup is optional. There is also a one-click blur if you need to share your screen or record a video of your inbox.
Do I need a WhatsApp Business API account?
No. InboxCRM runs on top of the WhatsApp Web you already use, with your existing number, whether that is plain WhatsApp or the WhatsApp Business app. Scheduled messages and follow-ups only send while Chrome is running with WhatsApp Web open, so it is not a server that sends for you overnight.
