WhatsApp CRM · Cosmetics & Skincare Sellers
A WhatsApp CRM for skincare and cosmetics sellers
Written for how cosmetics & skincare sellers actually work
Resellers of imported Korean, Thai and other branded skincare, makers of local herbal soaps, oils and face packs, MLM catalogue sellers, and pages that sell makeup and skincare side by side and have to switch between two very different conversations.
The first sale is fast: hours, sometimes a day or two once COD and delivery are sorted. The rhythm that matters here is the second one. A bottle of cleanser or moisturiser lasts a matter of weeks rather than months, so the useful follow-up is a single check-in timed to when her particular product is likely running low, then a quiet gap until the next one. That is one message per customer per cycle, not a stream.
April is the biggest stretch of the year, with gift sets and skin-prep buying, and December is the second. Monsoon months bring a rise in messages about breakouts and reactions, which is exactly when careful replies matter most.
A normal day in your inbox
- Hi, can you tell me the price of this?
- What's best for my skin?
- Is this original? Does it come with the box?
- Can you give me a sample to try?
- I have dry skin — can I use this?
- Send me the same one I bought last time — what was it called?
- I had a reaction. What should I do?
Where the deals leak
- Reel or Story
- DM enquiry
- Skin question
- Trust check (original? sample?)
- Price and COD
- Delivered
- Bottle runs out
- Reorder
Two places. First, the moment a skin question arrives dressed as a product question and gets answered with a confident guess or a vague non-answer. Second, and larger, the day the bottle runs out with nobody on either side tracking it.
Naming a product instantly feels helpful and efficient, so the second question never gets asked. And because a cleanser or moisturiser is used up quietly over weeks, the reorder goes to whichever page sends her something that week rather than to the seller she already trusts.
A board that matches your job
Tag the skin type the first time she tells you, and never recommend around it again from memory. If a chat is sitting in Trust questions, that is a prompt to send a batch photo, not to repeat the price.
Stage 1
New DM
Asked about a product, nothing known about her skin or what she has used before.
Stage 2
Asked back
You have asked about skin type and what she is using now, and are waiting on the answer.
Stage 3
Trust questions
She is on authenticity, samples or batch codes, not price. This stage needs proof, not persuasion.
Stage 4
Order placed
Item, payment method and address settled.
Stage 5
Using it
Delivered. The reorder clock starts here and lives on this card.
Stage 6
Repeat customer
She has bought more than once. The most valuable column on the board.
Tags worth having
- Oily skin
- Dry skin
- Combination
- Sensitive
- Had a reaction
- Wants a sample
- Full size buyer
- Referred by a friend

Everything below happens inside WhatsApp Web, on the number you already use. No API, no new inbox.

Put skin type in a custom field, not in the chat scroll
Create custom fields for skin type, current routine, what she bought last and any reaction she reported. It takes ten seconds at the time and it means you will never suggest the same product to someone who already told you it did not suit her.
- 2
Save the question, not the recommendation
Your first quick reply should ask whether her skin is oily, dry or combination and what she is trying to change, before any product name appears. The seller who asks the second question is the one who gets trusted in a chat where three other pages are answering at the same time.
- 3
Have an honest "original da?" answer ready
Keep a quick reply that names where the stock actually comes from and offers a photo of the batch code so she can check it against the brand herself. Send it with the packaging photo attached. A guarantee you cannot back is the one thing every fake reseller also says.
- 4
Set a reorder follow-up the day you deliver
When an order moves to Using it, schedule a message for roughly four to six weeks out depending on the product size, asking whether she is running low. This is the single easiest sale in the trade and almost nobody in this category makes it.
- 5
Keep a reaction script you never have to improvise
Save a calm reply that says stop using it, states your actual refund or exchange terms, and points her to a pharmacist or doctor if it is more than mild redness. Never talk her out of a reaction to protect a sale, and never call it purging.
The messages that stall a sale
“Is this original?”
Usually means
She has been burned before, or knows someone who was, and does not want to pay brand money for a fake. What works
Be specific rather than defensive. Name the supplier or import route as far as it is true, send a photo of the batch code, and say plainly that a screenshot proves nothing on its own so she is welcome to check the code with the brand.“What's best for my skin?”
Usually means
Sometimes "tell me what to buy", sometimes a real skin problem she is hoping you will solve so she does not have to see a dermatologist. What works
Ask before you answer: skin type, what she uses now, what she wants to change in one sentence. If that sentence describes a condition rather than a preference, say honestly that a product is not the answer and point her to a dermatologist first.“Will this make my skin fair?”
Usually means
A very common expectation in this market that a cream should lighten skin tone. What works
This is the one objection to never answer with a yes, in any softened form. Say plainly that it will not change her natural skin tone, that it can support hydration and an even look, and that products sold on a fairness promise have been found to contain ingredients that are not safe for regular use.“Can I get a sample first?”
Usually means
She has been disappointed before or is worried about a reaction and wants a cheap way to find out. What works
If a trial size genuinely exists, offer it plainly as the safer way to check for a reaction first. If it does not, say so and suggest patch-testing a small area for a few days. Do not treat the caution as an obstacle to talk her out of.“I had a reaction to this.”
Usually means
She wants to be taken seriously and handled fairly, not diagnosed. What works
Tell her to stop using it, deal with the refund or exchange honestly, and send her to a pharmacist or doctor for anything beyond mild redness. Do not speculate about the cause and do not reassure her that it is normal.
Quick replies to save first
Copy these, swap the details in [brackets], and save them as quick replies so you stop retyping them.
Vague product enquiry
Thanks for messaging! 😊 Is your skin more oily, dry or combination? Once I know that I can tell you which one actually fits.
When it sounds like a condition
I'll be honest with you, that isn't something a product should be used to fix. It's worth seeing a dermatologist first, and after that I'm happy to suggest something that fits into whatever routine they give you.
Authenticity question
This stock comes in through [supplier or import route]. I'll send you a photo of the batch code on the box, and you can check it on [brand]'s own site too.
Fairness question
Honestly, this isn't a product that changes your skin tone. It helps with hydration and an even, healthy look. Anything promising to make skin fair is worth being careful with.
Reorder check-in
Hi [name]! It's been about [5] weeks since you got the [product] — thought it might be running low. Want me to send another one?

The parts of InboxCRM you'll use most
Contact notes and custom fields
Skin type, current routine, last order and any reaction stay on the contact, so you ask once and never recommend blind again.
Pipeline board
Separates the customers waiting on proof from the ones waiting on a reorder, which are two completely different next messages.
Scheduled messages
Lets you set the reorder check-in on the day you deliver, instead of trying to remember five weeks later.
Quick replies
The honest answers to originality, fairness and reaction questions are the hardest ones to type well under pressure. Write them once, calmly.
Local-first data
What a customer tells you about her skin is personal. CRM data stays in your own browser, with a one-click blur before you share a screen.
Questions from cosmetics & skincare sellers
Will it write skincare replies for me?
There is an optional AI drafting feature that uses your own OpenRouter, OpenAI, Gemini or Groq key, but this is the one trade where we would leave it off. A skin question answered by a draft can drift into treatment language without anyone noticing, and that risk lands on you, not on the tool. Write these replies yourself and save them as quick replies.
Can it tell me whether my stock is genuine?
No. It cannot verify a brand, a batch or a supplier. What it can do is keep your honest answer ready to send with the batch photo attached, and keep a record of which supplier a particular order came from, so if a customer asks later you are not searching through months of chat.
How do I remember when each customer needs a refill?
Move the chat to your delivered stage and schedule a message for the point that product usually runs low. You can also use a follow-up rule so anything sitting in that stage past a set number of days comes back to your attention. The timing comes from you; the tool only makes sure it is not forgotten.
Can I send offers to my whole customer list?
You can message a list of people who opted in to hear from you, and campaigns send slowly on purpose, with hourly and daily caps, quiet hours and a per-contact cooldown. For this trade we would use it sparingly. Skincare buying is a one-to-one conversation, and a broad blast about skin is the wrong instinct.
Do I need a business phone number or an API account?
No. It is a Chrome extension that works on WhatsApp Web with the number you already use, on a desktop computer. Anything scheduled only sends while Chrome is open with WhatsApp Web running, so a reorder reminder set for a Sunday will go out when your machine is actually on.
