WhatsApp CRM · Beauty Salons & Bridal Artists

WhatsApp CRM for beauty salons and bridal artists

One salon inbox carries two different businesses. A threading and facial slot for Saturday sits in the same chat list as a bride asking whether a May date is still open. InboxCRM runs inside WhatsApp Web, so the date you agreed to hold gets written down somewhere other than your memory between clients.

Written for how beauty salons & bridal artists actually work

Solo makeup artists who do their own bookings, small bridal studios with two or three artists, and neighbourhood salons doing everyday grooming on weekdays and poruwa or homecoming looks on weekends.

Bridal runs long. Couples often book three to six months ahead once the date is fixed, so the follow-up rhythm is measured in weeks: a nudge a fortnight after the date check, another if the trial has not been set, then quiet until the week before the day. Walk-in services run on the opposite clock and are usually closed the same afternoon.

Weddings cluster on a few auspicious Saturdays inside the May to August and November to January windows, which is exactly when two brides want the same day. April is quiet for bridal but heavy for walk-in hair and facials before Avurudu, and December is busy on both sides at once.

A normal day in your inbox

  • Hi, how much is the bridal package?
  • Is 24 May still free for us?
  • Are the poruwa and the homecoming priced separately or together?
  • Can we book a trial, and what does the trial cost?
  • Our date is not firm yet, the astrologer has not confirmed. Can you hold it?
  • Do you come to the venue, or do we come to the salon?
  • Threading and a facial, how much? Do you have Saturday slots?

Where the deals leak

  1. Enquiry
  2. Date check
  3. Package chosen
  4. Trial booked
  5. Advance paid
  6. Wedding day
  7. Thank you
  8. Referral

The date hold. A bride asks you to keep a Saturday, you type ok, and you go back to the client in the chair. Nothing is blocked anywhere, no advance is attached, and the chat scrolls away under newer messages.

Auspicious dates cluster on a handful of Saturdays, so two or three brides genuinely want the same day. A hold that lives only inside one chat thread is invisible the next time somebody asks about that date.

A board that matches your job

Keep walk-in threading and facials off this board. They are settled the same afternoon and do not need stages. The board is for bridal, where one card can sit quietly for three months and still be live.

  1. Stage 1

    Enquiry

She has asked a price or a date. Nothing is held and nothing is promised yet.

  2. Stage 2

    Date checked

You have confirmed the day is open and asked which events she needs: poruwa, homecoming, or both.

  3. Stage 3

    Trial booked

A paid trial is set for a named day. This is the first real commitment either side has made.

  4. Stage 4

    Advance paid

Money has moved, so the date is genuinely off the board for every other enquiry.

  5. Stage 5

    Confirmed

Package, events, venue and call time are agreed and written on the contact, not remembered.

  6. Stage 6

    After the day

The wedding is done. Thank-you sent, and her sisters and bridesmaids actually asked.

Tags worth having

  • Poruwa only
  • Poruwa + homecoming
  • Come to venue
  • Airbrush
  • Saree draping
  • Bridesmaid group
  • Date not firm
  • Walk-in regular

Set it up once

Everything below happens inside WhatsApp Web, on the number you already use. No API, no new inbox.

Add InboxCRM to Chrome
  1. 1

Write every held date into the appointment centre

The minute you tell a bride a day is free, make the entry with her name and the events she wants. Next time someone asks about that Saturday you are reading a calendar, not searching chats.

  2. 2

Name the stages the way you actually talk

Custom pipeline stages let the board read Enquiry, Date checked, Trial booked, Advance paid, Confirmed. A bride who has been sitting in Date checked for three weeks is visible instead of buried.

  3. 3

Write the package on the contact, not in the thread

Per-contact notes, tags and custom fields hold what she booked: both events or one, venue makeup or salon, mother and sister add-ons, the advance already received.

  4. 4

Save the package breakdown as a quick reply

Quick replies carry text and images, so the reply that lists hair, draping, jewellery styling and touch-ups can go out with two past looks attached, the same way every time.

  5. 5

Let follow-up rules chase the quiet cards

A rule on how long a chat has sat in a stage will nudge you about the bride who checked a date a fortnight ago and never came back about the trial.

  6. 6

Schedule the message for the week after the wedding

Scheduled messages let you set the thank-you and the bridesmaid question while you are still packing the kit, so the referral ask actually happens.

The messages that stall a sale

  • The price feels high.

    Usually means
She has seen a number and not yet seen what sits inside it.

    What works
List what is included before you repeat the figure. Hair, saree draping, jewellery styling and touch-ups on the day are billed separately in plenty of places. Adding value beats dropping the price.

  • The other salon quoted less.

    Usually means
She is very often comparing a walk-in glam rate against a full bridal package.

    What works
Ask what the cheaper quote actually covers before you answer the gap. Once she reads the two lists side by side, the difference explains itself and you have not touched your rate.

  • I would rather pay on the day than give an advance.

    Usually means
Genuine hesitation while the wedding is still being planned, and sometimes a sign she is still asking around.

    What works
Explain that the advance is what keeps her Saturday off the board while other brides are asking about the same day. That is a reason she can feel, not a business formality.

  • Our date is not confirmed by the astrologer yet.

    Usually means
She cannot commit to an exact day, and that is a normal planning reality here.

    What works
Offer a soft hold with an end date instead of an open-ended promise. Put it in the appointment centre as a hold so a second enquiry for that day shows up against it straight away.

  • I am nervous booking without seeing a trial first.

    Usually means
This is about a one-shot wedding-day look, not about money.

    What works
Send a past look in a similar tone before the trial is even set. Then the trial feels like confirming something rather than gambling on it.

Quick replies to save first

Copy these, swap the details in [brackets], and save them as quick replies so you stop retyping them.

  • Bridal package breakdown

Our bridal package covers hair, saree draping, jewellery styling and touch-ups on the day. That full package is Rs. [amount]. If you need both the poruwa and the homecoming, tell me and I will send the rate for the two together.

  • Date check

Let me check [date] and come straight back to you. Is it the poruwa, the homecoming, or both?

  • Soft hold

I can hold [date] for you until [day]. If the nekath comes back different before then, just message me and I will move it across.

  • Advance ask

To lock [date] I take an advance of Rs. [amount], and it comes off the trial fee. Once that is in, the day is not given to anyone else.

  • After the wedding

Thank you for having us on [date], you looked lovely. If any of your sisters or bridesmaids are planning something, send them my way and I will look after them.

The parts of InboxCRM you'll use most

  • Pipeline board

Stages named Enquiry, Date checked, Trial booked, Advance paid and Confirmed, so no bride sits in limbo unseen.

  • Appointment centre and scheduled messages

A held date becomes a visible calendar entry, and the thank-you message can be written now and sent after the wedding.

  • Per-contact notes and tags

Venue or salon, one event or two, mother and sister add-ons, advance received: stored against her chat instead of re-asked.

  • Quick replies with images

The package breakdown and two sample looks go out together in one tap, between clients.

  • Follow-up rules

Chats that have sat too long in one stage come back to you, which is where date holds normally go quiet.

Questions from beauty salons & bridal artists

Will this stop me double-booking a wedding date?

It makes the risk visible rather than removing it. Once a held date is an entry in the appointment centre, a second enquiry about that Saturday shows you the clash while you are still typing. It cannot decide which bride to keep, and it cannot stop a couple changing their nekath, but it does end the hold that nobody wrote down.

I work from my phone between clients. Does this help me?

InboxCRM runs in desktop Chrome on WhatsApp Web, so the board, notes and appointment entries live wherever you sit down at a laptop. Many artists set up and review there, usually in the evening, and keep replying from the phone during the day. Anything scheduled only goes out while Chrome is open on WhatsApp Web.

Can I keep walk-in bookings separate from bridal?

Yes. Custom chat tabs and tags let you keep the threading and facial threads in one view and the bridal conversations in another. Most salons only put bridal on the pipeline board, because a walk-in slot is decided in one message and does not need a stage to sit in.

Is my client list stored on your servers?

CRM data sits locally in your browser using chrome.storage.local. You can take a local backup and restore it yourself, and the encrypted cloud chat backup is optional, not on by default. There is also a one-click privacy blur for when you hand the laptop to someone in the salon.

Should I send campaign messages to past brides?

Bridal is a once-in-a-lifetime purchase and a broadcast reads badly against it. Campaigns exist, they go only to lists of people who opted in, and they have conservative sending caps and quiet hours. For this side of the business a personal message after the wedding will do far more than any list.
