This is a long trade. A couple usually decides over days to several weeks because the wedding is months away, and the gap between advance and shoot can run most of a year. That makes the follow-up cadence roughly a useful message at day three, another around day ten, and one more later only if it carries something real. After the shoot the cadence changes again: one honest progress note every few weeks through editing is what protects the referrals.
December into mid-January is the peak, when relatives are home and auspicious dates cluster. April is the second peak around Avurudu. February to March is steady, the monsoon months push some outdoor pre-shoots later, and October to November is when couples start locking in December dates, which is exactly when your quoted column gets long.

The weeks straight after the quotation. The couple is genuinely still comparing three to five studios, and nobody on your side is tracking that window at all.
Memory does not scale past a handful of open enquiries, and in peak season there are dozens. The second, quieter leak is delivery: a wedding you shot well but delivered late is the one they mention when a friend asks who to book.
A board that matches your job
In peak season the board is most useful read by stage, not by chat. Quoted and Family discussing are the two columns worth opening every few days; everything else can wait for the editing session.

Ask before you quote, with one saved reply
A quick reply that asks the date and which events they need, before any number, stops you quoting on a Saturday you have already half promised and starts an actual conversation.

Build a follow-up rule around Family discussing
Set the rule on how long a chat has sat in that stage. It brings the card back at three days, then again around ten, so the follow-up window is worked rather than remembered.

Attach something useful to every follow-up
Quick replies carry images and video, so a nudge can be an album sample or a highlight reel rather than a bare any update, which is the message that gets ignored.

Write the inclusions on the contact
Custom fields hold what the package covers for this couple: second shooter, drone, album pages, which events. That is what stops something being discovered as missing on the wedding day.

Be honest about date holds instead of inventing pressure
Say plainly that the date is reserved once the advance is in, and that you will tell them if another enquiry comes for it. Inventing another couple is the cheapest trick in this trade and the most expensive one to be caught at.

Scheduled messages let you set the honest progress note at the point of shooting. A couple told that editing is at album layout stage does not chase you, and does not tell their friends you went quiet.

Send a plain checklist of exactly what is in their package. A reassuring everything is included commits to nothing and is remembered very differently on the morning of the wedding.

Before quoting
Hi, thanks for messaging. The package changes a bit depending on the date and what you need covered. Is it the wedding, the engagement, the homecoming, or more than one? And what date are you looking at?
Album versus digital
Happy to explain the difference. The digital package is the edited photos delivered as files. The album means those photos are printed and bound, which adds about [number] days on top. Which matters more to you two?
Date hold
The date is reserved once the advance is in, not before. If you need another [few days or a week] to decide that is completely fine. If another enquiry comes in for [date] in the meantime, I will tell you rather than just letting it go.
Follow-up after the family discussion
Hi, no rush at all. I thought this might help the conversation at home: here is an album sample from a [wedding or homecoming] we shot recently, so you can see how the pages actually come out.
Delivery update
Quick update on [couple names] photos. We are at [selection, editing or album layout] right now. The estimate is still [date], and if that slips I will tell you before the date, not after it.

I reply from my phone on location. Is a WhatsApp Web tool any use?
Honestly, it is an editing-desk tool. It runs in desktop Chrome on WhatsApp Web, so the board, the notes and the follow-up rules are there when the laptop is already open for Lightroom or Premiere. On a shoot day you are still on the phone. Anything scheduled only sends while that Chrome window is open.
Will following up actually get me the booking?
No tool can promise that. What a follow-up rule does is keep you visible during the weeks a couple is comparing studios, instead of leaving it to memory across dozens of threads. Whether they book you still comes down to the portfolio, the price band and how the conversation felt.
Can it remind me to send delivery updates after the wedding?
Yes. Put the shoot in an editing and delivery stage and either schedule the progress messages at the point of shooting or let a follow-up rule surface the chat after a set number of days. It cannot make a late album arrive sooner. It only makes it much harder to go quiet on a couple who is waiting.
Should I message my past couples as a list?
Campaigns go only to opted-in lists, with conservative sending caps, quiet hours and a per-contact cooldown. For this trade a broadcast works against you. The advantage that wins bookings here is feeling like an individual couple rather than a queue number, and a mass message says the opposite.
Where does my enquiry data live?
CRM data is stored locally in the browser through chrome.storage.local, and you can back it up and restore it yourself. Encrypted cloud chat backup is optional. There is also a one-click privacy blur, which is genuinely useful if you screen share a portfolio or hand the laptop to a client at the desk.
