For solo practitioners and small firms selling management and strategy work, marketing consulting, HR and process work, or business registration and compliance services, where the client is buying trust in one specific person's judgement.
Registration and compliance work can close in days because the scope is bounded from the start. Strategy, marketing and HR engagements usually take weeks from first message to a signed scope, since a discovery call, a written proposal and an internal decision all have to happen first. Follow up on the proposal at around day two or three, again near the end of the first week, and once more around day ten with a genuine offer to close it for now.
Enquiries follow business cycles rather than the national calendar: financial year-end and new-year planning periods tend to bring a burst of "let's finally sort this out" conversations, while registration work tracks whenever someone decides to formalise a new business.

The very first reply. Asked what is wrong with the business, most consultants type three paragraphs of genuinely good advice, or quote an hourly rate out of the air. Both close the door on the discovery call the whole engagement depends on.
The free version removes just enough discomfort that there is no urgency left to pay for the rest, and a bare number invites the client to shop it against people whose scope is completely different. Further along there is a second leak, the silence after a proposal, and a third that almost nobody works: the referral and the follow-on engagement that are never asked for once a project ends.

Watch the gap between First contact and Discovery booked. If enquiries pile up in the first column, the problem is not lead volume, it is what your first reply is doing.

Answer "how much?" the same way every time
Save one quick reply that thanks them, then asks a single grounding question about the actual problem. It is warm, it is not evasive, and it does not contain a figure. Using the same one every time also stops the version you send at nine at night from being worse than the one you send at ten in the morning.

Make the free call a bounded thing
Keep a second saved reply that offers a short discovery call with a stated length and a clear description of what it does and does not cover. The failure here is turning a free call into a full free consulting session out of a wish to prove value.

Book the call inside the chat
Use the appointment centre to set the date and time there and then, and let the reminder go out automatically before it. The moment between "let's set something up" and an actual date is where a warm enquiry goes cold.

Put deal values on the board
Add the proposed fee to each card so the Proposal sent column is ordered by what is actually at stake. A solo consultant juggling several live proposals has no other place this lives, and it tells you which follow-up to write first on a busy morning.

Space proposal follow-ups deliberately
Set a follow-up rule on Proposal sent so a card that has gone quiet comes back to you. Hiring a consultant means admitting something needs outside help, so this decision runs slower than a product purchase. Three touches over a couple of weeks, ending with an honest offer to close the enquiry for now, beats chasing.

Put the referral ask in the process
When a card moves to Delivered, that is the moment to ask for an introduction to another owner, or to open the conversation about a quarterly check-in. Referral is close to this trade's whole growth engine, and leaving the ask to whenever you remember means it mostly does not happen.

Questions from business consultants
Will this make my first reply sound automated?
It only does what you set it to. A quick reply is text you wrote yourself, inserted in one keystroke, so it is your own wording every time rather than a system-generated message. There is optional AI drafting on your own API key if you want a starting point, but in a trade where the product is your judgement, most people write their own openers.
Can I message my whole contact list about a new service?
Campaigns are available for lists of people who opted in, with conservative sending caps, quiet hours, per-contact cooldown and a warm-up mode. For this trade we would use them sparingly. A broadcast-shaped message undermines the one-to-one trust the whole practice runs on; a personal note to twenty past clients does more.
Does it write the proposal or do the discovery?
No. It does not do the discovery, the diagnosis or the consulting, and it does not write your proposal or make you more credible to a client. It organises who is at what stage, holds what was discussed, and makes sure your first reply and your follow-ups actually happen. That is the whole claim.
Do scheduled follow-ups send while I'm in a client meeting?
Only if Chrome is running with WhatsApp Web open at that time. InboxCRM is a browser extension, not a server, so anything scheduled needs the browser awake when it is due. Most consultants have a laptop open through the working day anyway, which is why this fits the trade better than most.
Where does the client information live?
In your own browser, in chrome.storage.local, rather than on our servers. You can back it up locally and restore it, and there is optional encrypted cloud backup for chats. There is also one-click privacy blur for when you are screen-sharing a proposal and would rather your other client names were not readable.
