Reminders: never forget a follow-up

A reminder is a note-to-self on a chat that shows a desktop notification at the time you choose; it sends nothing to the customer.

Runs on a fictional copy of the screen with a voice guide. Nothing you click reaches WhatsApp.

Set a personal reminder for a chat and get a desktop notification when it's time.

    Your reminders, in one list

    Personal reminders — 'call Maria back at 3pm' — that pop up at the time you choose. The header counts total, due and dismissed; the chips filter the list.

    Read the narration

    This is the Notifications page — your personal reminders. Not messages to customers: notes to yourself, like 'call Maria back at three'. The header shows how many you have, how many are due right now, and how many you've already dismissed. The chips underneath filter the list — all, due, scheduled, dismissed — and the search box finds a reminder by title, description or contact. Practice copy, as always.

    New reminder

    Starts a reminder. Every reminder needs a title, a description, a date and a time.

    Read the narration

    Press New reminder to create one. You'll need four things: a title, a short description, a date and a time. Optionally, you can link it to a chat — we'll do that next.

    Link it to a chat

    Title, description, date and time. 'Linked contact' takes a phone number with country code — the reminder then shows the contact's name and carries the number into the notification.

    Read the narration

    Here's the editor. Title: 'Call Maria back'. Description: what it's about — she asked for a quote on forty cupcakes. Then today's date and three o'clock. The last field, Linked contact, is a phone number with the country code. It's optional, but worth filling: the reminder then shows Maria's name from your contacts, and the number travels with the notification so you know exactly who to open. Press Save.

    Scheduled — waiting for its time

    The new row shows a Scheduled pill, the date and time, and the linked contact's name with the number. The pencil edits it, the bin deletes it (after a confirm).

    Saved. The new reminder sits in the list with a green Scheduled pill, the date and time, and Maria's name with her number. Two small icons on the right: the pencil reopens the editor if you need to change the time, and the bin deletes it — it asks first.

    When it fires: a desktop notification

    InboxCRM checks every minute in the background. When the time comes you get a Chrome desktop notification with the title, description and the linked number — even if WhatsApp Web is closed.

    Read the narration

    Three o'clock arrives. In the background, InboxCRM checks your reminders every minute, and when one comes due it shows a Chrome desktop notification like this one — the title, your description, and the linked number underneath. This works as long as Chrome is running; WhatsApp Web doesn't need to be open for a reminder, which makes reminders different from scheduled messages. If you don't see it, check that Chrome is allowed to show notifications in your system settings.

    Inside WhatsApp: the red count

    Due reminders also show as a red count on the bell in the InboxCRM rail and on the popup's Notifications row. Clicking either opens this page.

    Read the narration

    You'll also see it inside WhatsApp Web: the bell on the InboxCRM rail gets a red count of due reminders, and so does the Notifications row in the toolbar popup. Click either and you land back on this page. One thing to know: the lightning menu's 'Follow-up / reminder' item is about follow-up rules tied to your pipeline stages — to set a simple reminder for a chat, come here and link the contact.

    Due — dismiss when done

    The row turns Due (amber) and gains a tick: Dismiss. Dismissed reminders stay in the list until you press 'Clear dismissed' in the header.

    Read the narration

    Back in the list, the row has changed to an amber Due pill and gained a tick icon: Dismiss. Once you've made the call, dismiss it and the count on the bell drops. Dismissed reminders stay in the list as a record until you press Clear dismissed in the header.

    Birthday reminders

    Scans your contact profiles every day. Template supports {{name}} and {{date}}. Ticked 'Auto-send message' sends the greeting for you; unticked, you only get reminded.

    Read the narration

    One more card: Birthday reminders. If you record birthdays in your contacts' profiles, InboxCRM scans them daily and reminds you on the day. The template can use the name and date placeholders. Tick 'Auto-send message' and the greeting is sent for you; leave it unticked and you just get the reminder and write your own. 'Test fire now' runs the scan immediately so you can see it work.

    Set one for tomorrow

    Open the real Notifications page and set a reminder for tomorrow morning, linked to a chat you owe a reply. Then take the Text macros tour.
