Outbound and pilgrimage enquiries usually take a week to a month, set by the family's own pace, not yours. Ticketing is the exception: fares move daily, so that decision is hours. The weeks after the quotation goes out, while the family lines up leave dates, budget approval and one relative's opinion, and compares you against two or three other agencies.
A dozen quotations run in parallel during an Avurudu or December week, and reconstructing who was quoted what from a scrolled-past thread three weeks later is not realistic. So nobody follows up at day 3, day 10 or day 21, and the booking goes to whichever agent stayed in the family's view.
A board that matches your job
Put the departure date and the head count in custom fields, and the deal value per booking rather than per head, so a 50-seat school trip and a two-person honeymoon don't look the same on the board. During peak weeks the Family discussing column is the one to work through first.

Ask who decides, and write it on the card
Before the price goes out, ask how many are travelling and who signs off on the budget. Custom fields hold that answer, so the day-10 follow-up is aimed at the person who actually has to be convinced, not only at whoever happens to be typing.

Write the quotation so it survives being forwarded
Quick replies carry a saved itinerary as text, images or a document, with macros filling in the family's name, dates and headcount. What leaves your chat is read cold by three or four people, so it has to explain itself.

Give the discussing window an actual rhythm
Follow-up rules fire on how long a chat has sat in one stage, so a card in Family discussing returns at day 3 with something to look at and again later with a plain update. Three useful nudges beat one message and silence.

Put instalments and document deadlines on a schedule
Notes hold the agreed instalment plan; scheduled messages send the reminder before each payment date and before the document cut-off. A verbal instalment understanding is where payment disputes close to departure come from, so write the schedule and send it.

Handle passports and NICs carefully
This trade collects identity documents by necessity. Keep only what you need, use the one-click privacy blur when your screen is visible at a counter, and never accept card numbers or bank logins in chat. CRM data stays in local browser storage, not on someone else's server, unless you switch on encrypted cloud backup.

Visa question, honest answer
I'll collect the documents and submit the application for you, and I'll make sure the file goes in complete. The approval itself is decided by [the embassy/authority], so that part I can't promise anyone.
Instalment plan
You can hold the seats with an advance of Rs. [X] and pay the balance in [N] instalments before departure. I'll send the schedule in writing so everyone in the family can see the dates.
Documents and payment safety
For the booking I need a passport copy with more than six months validity and an NIC copy. Please don't send card numbers or bank login details on WhatsApp — payment goes through [bank transfer / payment link] and a receipt screenshot is enough.

Questions from travel agents
Can it handle visa applications or bookings?
No. It doesn't speak to embassies, airlines, hotels or your DMC, and it processes nothing on your behalf. It organises the conversation around all of that: who is at which stage, what you quoted, what was agreed on payment, and which documents are still outstanding for each traveller.
How do I follow up without annoying a family that's still deciding?
Give each touch a reason. A photo of the hotel on day 3, a plain factual update around day 10, one light check before the group fills. Follow-up rules remind you; the wording stays yours. Three useful messages over three weeks reads as attentive, while "any update?" three times reads as pressure.
Is it safe to keep passport details in this?
CRM data is stored locally in your browser rather than on a shared server, and you choose what to type into a note. Keep it to the minimum you need for a booking, use the privacy blur when your screen is visible at a counter, and keep money and identity documents on a proper payment channel or an in-person handover.

Can I message my whole pilgrimage list when next year's departure opens?
Campaigns work with lists of people who opted in, with conservative sending caps, quiet hours and a per-contact cooldown. A returning group that asked to be told when the next departure opens fits that. A cold blast to everyone who ever enquired does not, and reads badly for a trip many families treat as spiritually significant.
