WhatsApp CRM · Wedding Car Hire and Vehicle Rental
One car, one place, one day — and a date that was only ever held in a chat
Written for how wedding car hire and vehicle rental actually work
Owners with one to three decorated wedding cars, small fleets of five to ten mixing wedding cars, guest vans and a self-drive line off one number, and the coordinator juggling several vehicles' calendars in a diary or in their head.
Couples usually reach the car last, weeks to a few months before the wedding, once the astrologer has fixed the date and the venue, photographer and salon are already paid for. So follow-up is measured in weeks, not days: check back within a few days of quoting, again the week after, and once confirmed switch to reminders — a few days before the date, and the evening before.
Enquiries climb through February and March as nekath lists circulate, and the demand piles onto a handful of Saturdays from May to August and again from November into January rather than spreading evenly. April is quiet for weddings but busy for self-drive, and December is heavy on both at once — which is exactly when a verbal hold is most likely to slip.
A normal day in your inbox
- How much for a wedding car?
- Is the car free on May 24?
- Do you come to the registrar's office as well as the poruwa?
- I need a van for 20 guests, and an airport pickup.
- Is decoration included in the rate, or extra?
- Is the driver included, or can I take it self-drive?
- Do I need to pay an advance? How much?

The date hold. "Thiyaganna" said in a chat blocks nothing on any calendar, and with no advance attached it carries no weight on either side.
The date lives in the owner's memory while he is driving. A second couple asks about the same Saturday days later, gets the same cheerful yes, and nobody notices until it is far too late to fix.
A board that matches your job
Run a separate board column per vehicle if you have more than two cars. The point of the board is that a date belongs to a car, not to the business in general.
Stage 1
Enquiry
Someone has asked a price. You do not yet know the date, the ceremony, or which line they want.
Stage 2
Date checked
You have looked at that specific vehicle's day and answered honestly — free, or not.
Stage 3
Advance requested
The rate, the inclusions and the advance have been stated. Nothing is locked yet.
Stage 4
Confirmed
Advance received, vehicle named, pickup time agreed. Only now is that Saturday off the market.
Stage 5
Done
Event finished. Time for the thank-you, the photo, and the ask for the next family wedding.
Tags worth having
- Poruwa only
- Poruwa and homecoming
- Guest van

Split the wedding line from the self-drive line at the first reply
They are different journeys with different documents and different worries. A custom chat tab for each, plus an opening quick reply that asks which one they want, stops you answering a self-drive deposit question to a bride.
- 2
Put the date against the vehicle before you say yes
Use the appointment centre so a date is an entry on a named car, not a memory. When a second couple asks about the same Saturday, the answer is visible instead of optimistic.
- 3
Ask for the advance as protection, not paperwork
Frame it as what stops another couple taking their date. Save that wording as a quick reply, and move the chat to Advance requested so a hold never sits unresolved for a fortnight.
- 4
Schedule the pre-date reminder the day you confirm
A scheduled message a few days before the wedding re-confirms pickup point, time and any decoration colour change. Chrome needs to be open with WhatsApp Web for it to go out.
The messages that stall a sale
“That's expensive.”
Usually means
Often they are comparing a plain sedan quote from one page to a decorated luxury car quote from yours, not like for like. What works
Say what the rate covers — the decoration, the driver, the route allowance — before you repeat the number. Ask what the other quote included so the comparison is actually apples to apples.“Is decoration basic, are flowers extra?”
Usually means
Genuine confusion. Decoration standards vary hugely between operators and the word alone tells them nothing. What works
Describe it in two concrete lines — ribbon style, flower type, whether the homecoming look differs from the poruwa one — and send sample photos of your own car rather than a stock shot.“We'll pay everything on the day, no advance.”
Usually means
Sometimes genuine hesitation while the wedding plan is still moving, sometimes they are still comparing pages. What works
Explain that the advance protects their date from the next couple asking for the same Saturday, not your paperwork. Ask for it by bank transfer with a receipt — never card details in the chat.“Is that the same car in the photo?”
Usually means
A fair question almost nobody answers straight. Fleet pages run one hero photo while allocation on the day depends on what is free. What works
Confirm which exact vehicle is allocated to their date, or say upfront that it may differ from the marketing photo. On a purchase they only make once, a plain answer here is the whole trust move.
Quick replies to save first
Copy these, swap the details in [brackets], and save them as quick replies so you stop retyping them.
Opening split
Hi! Thanks for messaging [fleet name]. Is this for a wedding car, or a self-drive hire? Tell me the date and I'll come back with details straight away.
Date check, answered honestly
Let me check [date] against the [car model] itself and come back to you. Is it for the poruwa, the homecoming, or both on the same car?
Advance framed as protection
To lock [date] I take an advance of [Rs. X], the balance on the day. Once that's in, the [car model] is not given to anyone else for that date. Bank transfer is easiest — send me the receipt screenshot after.
Booking confirmation
Booked. Date: [date]. Car: [model]. Advance [Rs. X] received, balance [Rs. X] on the day. Pickup: [time] from [place]. Have I got all of that right?

The parts of InboxCRM you'll use most
Scheduled messages and appointments
A date becomes an entry against a named vehicle, with the pre-wedding reminder scheduled the day you confirm.
Pipeline board
Enquiry, Date checked, Advance requested, Confirmed — so no couple sits in an unclear maybe for a fortnight.
Quick replies with images and video
Send your actual decoration work, the inclusions list and the advance wording without retyping between trips.
Custom chat tabs
Keep wedding enquiries and self-drive enquiries apart when both lines run off one number.
Questions from wedding car hire and vehicle rental
Does InboxCRM stop me double-booking a date?
It makes the clash visible rather than preventing it. A confirmed date shows as an appointment against that vehicle, so when a second couple asks about the same Saturday you can see the answer instead of guessing from memory. It cannot decide a nekath date for anyone, and it does not collect or hold an advance.
I run wedding cars and self-drive off the same number. Does that work?
Yes, and keeping them apart is half the value. Custom chat tabs and tags separate the two, so a self-drive enquiry about deposits and licence copies never gets answered with wedding decoration wording, and a bride never gets a mileage-limit reply. Both still sit in one WhatsApp account.
Can I use it from my phone? I'm usually driving.
The extension runs in desktop Chrome on WhatsApp Web, so the board, the appointments and the quick replies live on a laptop. Many one-car owners set it up on a laptop at home in the evening and use it to catch the day's enquiries, confirm dates and schedule the reminders that go out later.
What about the self-drive deposit and documents?
Keep a quick reply that states the rate, mileage limit, deposit and which documents you need at handover, so every customer hears the same terms. Never ask for card or bank credentials in the chat itself — point at a proper transfer, and take the licence and NIC check in person at handover as usual.
