    Explain the process before you collect anything

    Save a quick reply that lays out the stages and the documents in order, before asking for a single certificate. A candidate who understands what comes next is far harder to frighten with a rumour, and far less likely to read a normal delay as a disappearance.

    Write what was promised into the file

    Notes and custom fields hold what was quoted, what is due at which stage, what documents you physically hold, and what was actually said about timelines. Front-office staff change and enquiry volume is high. The record is what keeps one candidate from getting three different answers.

    Schedule the update nobody else sends

    Put a follow-up rule on Visa processing and Employer selection so any file sitting untouched for two or three weeks surfaces. Then send a short message that says the stage has not moved and nothing is wrong. "No change yet" is a real answer to the real question, which is abandonment, not curiosity.

    Never put a departure date on a card as a promise

    Use a custom field for the current confirmed stage, not a predicted date. A date typed once gets repeated by the candidate to their whole village, and it becomes the thing you are accused of breaking. Confirmed means confirmed by the employer or the embassy, not expected.

    Keep documents out of the chat thread

    Usually means
    I need to know exactly what this money is for and when, because I have heard about people losing money to agencies.

    What works
    Break down in writing what each payment covers and when it is due. Never present one unexplained lump sum, and tell the candidate they can confirm current permitted fee practice with the regulator themselves rather than taking your word as policy.

  • Is the salary guaranteed?

    Usually means
    I need to know this is real income before my family commits savings or takes a loan against it.

    What works
    State what the contract actually agrees and show it. Say plainly what is not yours to guarantee, an employer's ongoing conduct, a country's conditions. The word guarantee does not belong near salary, visa or departure date.

  • It's been months and we know nothing.

    Usually means
    The silence itself feels like evidence something has gone wrong, or that I've been forgotten or cheated.

    What works
    A short honest status update, even "no change yet, still waiting on this step," is the answer. Replying only when there is good news, or only when chased, is what pushes a candidate to another agency mid-process.

  • Another agency says faster, or cheaper.

    Usually means
    I'm being told a better outcome elsewhere and I don't know who to believe.

    What works
    Say what is realistic for that destination and role right now, without naming or attacking the other agency. Trying to outbid an unverifiable promise with another one makes you the second agency they can't check.

  • If the medical fails, do we get the money back?

    Usually means
    I need to understand the real financial risk before committing family money to this.

    What works
    This is a written-terms answer, not a chat answer. Point to what your terms actually say at each stage. If there is no clear written answer, the candidate deserves to know that too.

  • First enquiry

    Hello. I'll explain [destination / role] properly. First, the documents needed and how the process runs stage by stage, then you can decide whether it suits you.

  • Fee, broken down

    I'll be clear about the fee. [Stage 1] is [amount], [stage 2] is [amount], and I'll give you that in writing. You can also confirm current requirements with [the regulator] directly.

  • Departure date question

    You're still at [stage], so it's too early to give a departure date. I won't promise a date for something that isn't ready. The moment it's confirmed I'll tell you directly.

  • Update during the wait

    Thought I'd update you. [Stage] hasn't moved forward yet and there's no new news, but the process is running. If anything comes up I'll tell you straight away.

  • Documents, not over chat

    Please don't send passport, NIC or bank details over WhatsApp. Let's arrange for the documents to come to the office directly, or for you to bring them in.

Questions from recruitment & overseas placement agencies

Can I use it to send one update to all candidates at the same stage?

We would not recommend it here. Campaigns exist for opted-in lists with conservative caps, but a message that reads as mass-processed is exactly what a candidate in this trade is primed to distrust, especially about their own money and visa. Use the board to see who is owed an update, then send short individual messages.

Should the AI assistant draft replies to candidates?

No. AI drafting is optional and off unless you add your own key, and this is the wrong trade for it. A generated reply about someone's job, visa or money can put distance between what is actually known and what is said, which is the exact failure this business cannot afford. Write these yourself and save the honest versions as quick replies.

Is it safe to keep candidate documents in the CRM?

It stores whatever you type into it in your browser, and it does not vet or protect sensitive documents on its own. Keep passports, NIC copies and financial records in your proper office system, not in chat and not in contact notes. Never request bank logins, card numbers or account passwords over WhatsApp at all.

Does this help with licensing or compliance?

No. Overseas employment recruitment is a licensed, regulated activity, and verifying your own obligations is yours to do with the official regulator. InboxCRM does not check anyone's licence status, process visas or documents, or replace any legal duty. It is a record of where each candidate is and when you last spoke to them.

The office phone and a staff phone both get enquiries. How do we keep one record?
