WhatsApp CRM · Pet Shops & Pet Services

WhatsApp CRM for pet shops, groomers and boarding

Your customer is speaking for someone who cannot speak. That changes what a good reply looks like: an anxious owner asking why the dog will not eat needs warmth and a clear next step, not a product suggestion. Everything after that moment runs on a clock you already know. Food runs out, coats grow back, and April and December fill up. InboxCRM keeps those cycles written down inside WhatsApp Web.

Written for how pet shops & pet services actually work

Counter shops selling food, litter and aquarium supplies, solo and mobile groomers working by breed and coat, boarding and daycare operators booked around family travel, and shops running two or three of these out of one number.

Each single transaction is fast. A grooming slot or a bag of food is usually settled the same day, so nothing here needs weeks of nurturing. The rhythm that matters is the one between transactions: a reorder message timed to the bag size, a next-groom message timed to the coat, and a boarding message a few weeks before the school holidays start. Set all three the day the service happens, not when you remember.

Boarding peaks hard at Avurudu in April and again over Christmas and New Year, with smaller lifts during school holiday blocks when families travel. Wet months bring more tick and flea questions at the counter, which are exactly the messages that need the vet redirect rather than a product answer.

A normal day in your inbox

  • Hi, I need puppy food, what is the price?
  • My dog is not eating, what should I do?
  • Can I get a grooming appointment tomorrow?
  • Do you do boarding? We are away for 5 days over Avurudu.
  • We just got a puppy, what do we need to buy first?
  • How much for grooming, the breed is [breed]?
  • Do you need the vaccination card for boarding?
  • The food I bought last time, do you still have it? I forgot the brand.

Where the deals leak

  1. Enquiry
  2. Vet redirect or quote
  3. Booking or sale
  4. Service or pickup
  5. Delivered
  6. Next cycle due
  7. Next booking

Two. The visible one is the health-flavoured message answered either too confidently or too coldly. The quiet one is everything after the first sale: the reorder, the next groom, the next holiday.

Pet food runs out on a knowable schedule, coats grow back on a knowable schedule, and travel happens at school holidays. Almost nobody in this trade writes any of it down, so a customer who was easy to keep has to be won all over again.

A board that matches your job

Skip deal values on this board. Most transactions are decided the same day, so the board is not a negotiation tracker. It is there to make sure nothing leaves your hands without a next date attached to it.

  1. Stage 1

    Enquiry

A message about a product, a symptom, a price or a date. Nothing agreed yet.

  2. Stage 2

    Quoted

A grooming range or a per-day boarding rate has gone out, with the breed and coat condition noted.

  3. Stage 3

    Booked

Date, drop-off time and pet name confirmed, and for boarding, whether the vaccination card is coming.

  4. Stage 4

    With us

The pet is in for grooming or boarding. Photo updates go out from here.

  5. Stage 5

    Done

Collected or delivered. This is where you write the date the next cycle falls due.

  6. Stage 6

    Due again

The reorder, the next groom, or the next holiday. The only stage in this trade that is genuinely predictable.

Tags worth having

Set it up once

Everything below happens inside WhatsApp Web, on the number you already use. No API, no new inbox.

Add InboxCRM to Chrome
  1. 1

Keep a pet profile, not a customer record

Custom fields on the contact hold the pet's name, breed, size, the exact food brand and bag size, the last groom date and anything the owner told you they prefer. That is what makes same as last time a one-line message instead of a conversation.

  2. 2

Save the vet redirect as your warmest quick reply

Write it once so you never have to improvise it while a worried owner waits. Acknowledge the worry, ask when it started only so they can describe it clearly at the clinic, and tell them plainly to see a vet.

  3. 3

Quote grooming as a range, with a reason

A quick reply that gives a range for the breed and says the final figure depends on coat condition on the day protects you from the arrival-day surcharge argument that reads as bait and switch.

  4. 4

Put boarding dates in the appointment centre early

April and December fill up first. A calendar you can actually read is the difference between telling a regular you are full and telling them in time for them to book.

  5. 5

Set the next cycle before the chat closes

Scheduled messages let you write the reorder or next-groom nudge on the day of the service, dated to when it will actually matter. That is the whole system in one habit.

  6. 6

Check stock before you promise a brand

The order and delivery tracking keeps what is going out visible, so you are not confirming a bag or a size to a customer that has already left the shelf.

The messages that stall a sale

  • My pet is vomiting, what should I do?

    Usually means
A frightened owner asking for reassurance fast, relaying secondhand information about someone who cannot explain themselves.

    What works
Answer the worry first, ask when it started only so they can tell the vet clearly, and send them to a vet plainly. Naming a product as the fix is the biggest risk in this trade, and being clipped about it is the other one.

  • Should I change the food or keep the same one?

    Usually means
A genuine retail question about life stage, size or breed. This one is yours to answer.

    What works
Recommend inside the retail line: what suits a puppy, a senior or that size of dog. If a symptom has crept into the question, split it out and send that part to the vet.

  • How much for grooming for a [breed]?

    Usually means
Asking for a price on something whose real cost depends on coat condition.

    What works
Give an honest range and say the final figure gets confirmed when you see the coat. Quoting the lowest number to win the booking and adding a mat removal charge on the day costs you the customer permanently.

  • Is boarding safe, will you feed him properly?

    Usually means
A trust question and a guilt question, not a health question.

    What works
Describe the actual daily routine: feeding times, exercise, when you send a photo update. Do not promise that nothing will ever go wrong. A live animal carries some risk and owners know it.

  • We just got a puppy, what do we need first?

    Usually means
An overwhelmed new owner, and the highest lifetime value customer you will get this month.

    What works
Answer the starter list fully and warmly, then separate the vaccination and deworming schedule out and say their vet will set that at the first visit. Being maximally helpful on the medical part is the one place to hold back.

Quick replies to save first

Copy these, swap the details in [brackets], and save them as quick replies so you stop retyping them.

  • Vet redirect, warm

Thanks for telling me, I can hear you are worried about [pet name]. I cannot tell you what this is over chat and I would not want to guess. If [symptom] is still going today, please get to a vet. If you tell me when it started, I can help you explain it clearly when you are there.

  • Grooming quote

For a [breed] grooming is usually Rs. [range]. The final figure depends on the coat condition when I see [pet name], and I will tell you before I start, not after.

  • Boarding enquiry

Boarding is Rs. [amount] per day. Send me your dates and I will check. [April and December] fill up early, so it is worth confirming sooner. Also let me know if you will bring the vaccination card.

  • New pet starter list

Congratulations. For a new [puppy or kitten] the first things are food for that life stage, bowls, a bed, a collar and lead, and litter if it is a cat. Your vet will give you the vaccination and deworming schedule at the first visit, so get that from them rather than from me.

  • Reorder nudge

Hi [name], the [brand] bag you got for [pet name] on [date] should be running low about now. Want me to keep one aside, or send it out with the delivery?

The parts of InboxCRM you'll use most

  • A pet profile on every contact

Breed, size, food brand, last groom date and the owner's preferences stay on the chat instead of being asked again every time.

  • Quick replies with images

The vet redirect, the grooming range and the new-owner starter list go out the same way every time, with a photo when it helps.

  • Appointment centre and scheduled messages

Grooming slots and boarding dates become a calendar, and the reorder nudge can be written on the day and sent weeks later.

  • Follow-up rules

A chat that has sat since the last booking comes back to you, which is where the whole repeat cycle normally leaks.

  • Order and delivery tracking

Deliveries and collections stay visible, so you are not promising a brand or a size that has already gone off the shelf.

Questions from pet shops & pet services

Can it remind customers when their pet food runs out?

You can schedule a message dated to when you expect the bag to run low, based on the size you sold and the pet on the contact. It is your estimate, not a calculation the tool makes. What it removes is the part that actually fails, which is remembering to send anything at all weeks after the sale.

Does it help with health questions from worried owners?

Only by making sure your answer is consistent. It cannot examine, diagnose or treat an animal and it never replaces a vet. The useful part is having your vet redirect already written, so a worried owner gets warmth and a clear next step instead of whatever you can type one-handed in a busy shop.

Can I track boarding dates and vaccination cards?

Boarding dates go into the appointment centre, and whether the vaccination card was brought can sit in a custom field or a tag on the contact. The tool records what you tell it. It does not set or endorse any vaccination schedule, and what you require before accepting an animal is your own policy.

Should I send offers to my whole customer list?

Campaigns go only to lists of people who opted in, with conservative sending caps, quiet hours and a per-contact cooldown. In this trade an individual message about that specific pet nearly always beats a broadcast, because the trust here is built on you knowing which dog is which.

I am on my phone with a dog in my arms all day. Does this fit?

It runs in desktop Chrome on WhatsApp Web, so it is realistically a shop-counter and end-of-day tool, not an in-the-grooming-room one. Most people set up notes and scheduled reminders when they sit down, and reply from the phone during service. Scheduled messages only go out while that Chrome window is open on WhatsApp Web.
