An insurance agent does not have one busy season. You have dozens of personal renewal dates running in parallel, each on the day that client first bought, plus every quotation you sent last month that nobody has opened since. Written for the full-time or semi-serious agent working a life, motor or health book from a desk, including agents who now have juniors under them. If you only ever reply from your phone, a Chrome extension that runs on WhatsApp Web will not fit your day, and we would rather say so here.

A motor renewal can close in days. A life or health decision commonly runs weeks to a couple of months, because a spouse is involved and at least one other company usually gets asked. So space it out: a check-in a few days after the quotation, a second one about a week later, then a dated re-contact the client themselves agreed to. Renewal reminders sit on their own clock, roughly two weeks before the date.

There is no single busy month to prepare for here. The season is dozens of personal renewal anniversaries running in parallel, with life and health enquiries often picking up around the new year and motor questions clustering on each vehicle's own date.

Two leaks sit about a year apart. The first is the silence after a quotation goes out. The second, and the more expensive one, is the renewal window on a client you already won, served and got paid for once.

Neither one rings a bell. Nothing tells you a quotation has gone cold, and a client almost never remembers their own renewal date. A single Status post reaches everyone whose policy is not due and misses the one person whose is. There is a third, quieter loss too: the referral nobody asks for in the days after a claim settles cleanly, when trust is at its highest.

A board that matches your job

Open the board once in the morning and read two columns before anything else: Quotation sent and Renewal due. The rest of the board can wait until the afternoon.

    Give every quotation a next date, not a hope

    Set a follow-up rule on the Quotation sent stage so any chat that sits there past a few days is flagged back to you. The rule does not send anything on its own unless you tell it to; it just stops a quotation from disappearing quietly while you work the next enquiry.

    Put renewal dates somewhere other than your head

    Add a custom field for the renewal month on each contact, then schedule the reminder message itself for a date about two weeks out. A scheduled message goes to that one client on their own date, which is the opposite of a Status post that everybody sees and nobody acts on.

    Write down what the cover is for

    Use per-contact notes for the things that decide the conversation later: who the cover is meant to protect, what they said about affordability, when their current policy renews. Keep identity numbers, bank details and payment information out of the chat entirely; note that documents were handed over in person instead.

    Build three openers, not one paragraph

    Save a quick reply each for a life, motor and health enquiry, and make each one a question rather than a product summary. The reflex to send sum assured, riders and premium terms in the first message is what makes a client go quiet before you have learned anything about them.

    Make the post-claim moment a task

    When a claim settles cleanly, move the contact to a stage or tag it so the referral ask appears on your board a few days later. Nothing else forces that moment to surface, and it closes within days.

    Stay one-to-one with your book

    InboxCRM has campaigns for opted-in lists, but this trade is the wrong place for them. A message that reads like a broadcast undercuts the one-to-one relationship the whole book is built on. Keep automation quiet: scheduled individual reminders and stage-based follow-up prompts, nothing that feels sent to a list.

The messages that stall a sale

  • I'm getting a price from another company as well.

    Usually means
    They can't yet see why this quotation, from you, is worth deciding on now.

    What works
    Ask one grounding question about what matters most to them, affordability or depth of cover or the claim process, so the comparison happens on their real priority instead of premium against premium. Never name or criticise the other company.

  • The premium is a bit high.

    Usually means
    The premium is not yet connected to a benefit they personally care about.

    What works
    Go back to the reason they gave you in the first place and rebuild the number around that. Listing more features at this point reads as a brochure and pushes them further away.

  • Let me talk to my family and I'll let you know.

    Usually means
    A real and usually necessary step, not a polite refusal.

    What works
    Support it. Send one clear thing they can show at home, agree a realistic date to check back, and put that date on the board so you are the one who remembers it.

  • I already have a policy.

    Usually means
    The opening here is renewal timing or a gap in cover, not a competing pitch today.

    What works
    Ask when their current renewal falls, note it against the contact, and offer to check in nearer that date. Pitching a replacement in the same breath ignores a perfectly good reason to say no right now.

  • Is it hard to get a claim through?

    Usually means
    Trust in the category is low and they have heard secondhand stories.

    What works
    Answer plainly about the documents and the steps, and stop there. Never promise an outcome, an amount or a timeline. A concrete, honest explanation builds more trust than reassurance does.

  • "I'll talk to my family"

    Of course, this is a household decision. I'll send the [quotation] in a form you can show at home, and if anything comes up I'll answer it directly. Shall I check back around [date]?

  • Renewal reminder

    Small reminder: your [motor / health] policy renews on [date]. If we do it now it continues without a gap. Shall I prepare the quotation on the same terms?

  • After a claim settles

Questions from insurance agents

Does it tell me what cover to recommend?

No. InboxCRM does not do needs discovery, does not recommend products and does not give any financial advice. It tracks conversations, stages and dates. There is optional AI reply drafting that runs on your own OpenRouter, OpenAI, Gemini or Groq key, but in a trust-based trade like this many agents leave it off and write their own words.

Can I send one renewal reminder to my whole book at once?

You can build campaigns to lists of people who opted in, with conservative sending caps and quiet hours, but we would not use that here. Renewal reminders land better as individual scheduled messages to the one client whose date it is. A message that reads like it went to everybody is the fastest way to make a personal relationship feel like a mailing list.

Where do my client details sit?

Your CRM data is stored locally in your browser, in chrome.storage.local, not on our servers by default. You can take local backups, and there is an optional encrypted cloud backup for chats if you want one. Keep identity numbers, bank details and payment information out of WhatsApp entirely; the notes field is for context, not documents.

Does this need the WhatsApp Business API or a separate number?

No. InboxCRM is a Chrome extension that runs inside WhatsApp Web on your own number, so there is no API application and no separate business platform. Scheduled reminders do need Chrome running with WhatsApp Web open at the time they are due, which is worth knowing before you schedule a Monday morning renewal reminder.

I do most of my replies from my phone. Is this for me?

Honestly, probably not yet. InboxCRM runs in desktop Chrome on WhatsApp Web, so it fits an agent who has a laptop open for a good part of the day. If you work almost entirely from your phone between other work, the board will not get looked at often enough to be worth setting up.
