WhatsApp CRM · Car and Bike Dealers

"What's your last price?" is a doorway, not the whole conversation

Most vehicle enquiries open with the price and end there. The dealer sends a number, the buyer goes quiet, and the yard assumes they lost interest in the vehicle. Usually they did not: they were doing sums about leasing, or waiting on selling their own vehicle first, and nobody asked. InboxCRM sits inside WhatsApp Web so the financing and trade-in answers get written down beside the chat, on the day they are given.

Written for how car and bike dealers actually work

Used-car yards holding a handful of vehicles, franchise showroom sales staff working an enquiry line, bike and scooter dealers selling to first-time buyers, and private sellers who end up running a dealer-shaped conversation on ikman.

Most used-car and bike deals run in days to a few weeks — slower than a shop sale, far faster than property. A cash buyer with a clear trade-in can move in days. The exception is the leasing wait, which needs real patience: check in every few days on the approval rather than once and then silence, and ask whether to hold the vehicle while it clears.

Avurudu brings a push from buyers who want the vehicle before the new year, school-term changes drive family-vehicle upgrades, and November to December sees bonus-driven buying. Import and policy news moves enquiry volume sharply in both directions, so check the current rules rather than repeating last year's.

A normal day in your inbox

  • What's your last price?
  • What's the mileage on this one?
  • Has it been in an accident?
  • Can I get leasing on this? What's the down payment?
  • Can I come for a test drive?
  • I'm bringing a mechanic to look at it — is that okay?
  • Can I trade in my current vehicle against this?

Where the deals leak

  1. Enquiry
  2. Price shared
  3. Financing and trade-in
  4. Test drive
  5. Mechanic check
  6. Documents
  7. Deposit
  8. Transfer

Between the price being shared and the test drive happening. The chat stays on the vehicle while the buyer silently works out whether the numbers add up at all, then goes dark.

The leasing question and the trade-in dependency were never surfaced early. A deal that was always contingent on selling the buyer's old vehicle drifts for weeks with neither side raising it.

A board that matches your job

The buyers worth chasing are the ones parked in Structure known with no test drive booked. A lead stuck in Awaiting approval is not cold, it is waiting.

  1. Stage 1

    Enquiry

A message off ikman, Marketplace or a boosted post. You know which vehicle, nothing else.

  2. Stage 2

    Structure known

Cash or leasing is recorded, and you know whether a trade-in vehicle is part of the deal.

  3. Stage 3

    Test drive booked

A date and time exist, and the buyer has been told to bring a licence.

  4. Stage 4

    Inspection and documents

A mechanic visit, the CR book, revenue licence and insurance status are being worked through.

  5. Stage 5

    Deposit and transfer

Numbers agreed, deposit in, ownership transfer in progress.

  1. 1

Answer the price and ask two questions in the same breath

Save one quick reply that gives the number and then asks cash-or-leasing and whether there is a vehicle to trade in. That single message is what separates a dealer who plans the deal from one who only sells metal.

  2. 2

Store the deal shape as custom fields

Cash or leasing, the trade-in vehicle's model, year and condition, and the down payment they had in mind. Next time you open that chat you can see whether this deal is even structurally workable before you type.

  3. 3

Book the test drive and the mechanic visit like appointments

A mechanic inspection request is a buying signal, not an insult. Put both in the appointment centre with a scheduled confirmation the day before, so nobody turns up at a yard with nobody there.

  4. 4

Use a follow-up rule for the leasing wait

Bank approval takes as long as it takes. A rule on Inspection and documents that fires after a few days keeps the thread alive without you nagging a buyer who is genuinely waiting on someone else.

The messages that stall a sale

  • What's your last price?

    Usually means
Often not a haggle at all. In this trade it is the opening line, the equivalent of "hi" before any real conversation starts.

    What works
Give the number plainly, then use the same message to open the financing and trade-in questions. Treating it as a fight to win or lose skips the conversation that actually decides the sale.

  • Can I get leasing? What's the down payment?

    Usually means
They are working out whether the vehicle is within reach before investing more time in it.

    What works
Say only whether you facilitate leasing or the buyer arranges it themselves, and stop there. No rates, no instalment figures, no approval promises — that belongs with their bank or finance company.

  • Can I trade in my current vehicle against this?

    Usually means
The whole purchase is contingent on selling their vehicle first. Ignore it and the deal stalls the moment they realise nobody is helping them think it through.

    What works
Ask for the trade-in's model, year and condition up front, the same way you would ask about budget, and be clear about what you can and cannot promise on its value before seeing it.

  • I'm bringing a mechanic to check it.

    Usually means
A serious buyer taking a sensible precaution — not a comment on your honesty.

    What works
Welcome it and give two time slots on the spot. Stalling a mechanic visit is read as exactly what a dealer with something to hide would do.

Quick replies to save first

Copy these, swap the details in [brackets], and save them as quick replies so you stop retyping them.

  • Price plus the two questions

Thanks for asking about the [vehicle]. The price is [Rs. X]. Two quick things so I can plan this properly with you — are you looking at cash or leasing, and do you have a vehicle to trade in?

  • Leasing, answered honestly

If you're going through leasing, the approval and the terms come from your own bank or finance company — I can't promise a rate or an approval. The price is the same either way. Have you worked out a down payment yet?

  • Condition, answered honestly

From what I have on this vehicle: [service history / mileage / known history]. I can't independently verify everything, so I'd rather you check it with a mechanic and be confident than take my word for it.

  • Booking a test drive

Let's fix a test drive. Does [date 1] at [time] or [date 2] at [time] suit you? Bring your licence. I'll confirm the day before.

The parts of InboxCRM you'll use most

  • Contact notes, tags and custom fields

Cash or leasing, trade-in details and down payment sit on the contact, so you never re-ask what a buyer already told you.

  • Pipeline board

Shows which buyers know the price but have no test drive booked — this trade's exact leak.

  • Scheduled messages and appointments

Test drives and mechanic inspections become dated appointments with a confirmation sent the day before.

  • Quick replies

The price-plus-two-questions reply and the honest condition reply go out in a tap between customers on the yard floor.

Questions from car and bike dealers

Can InboxCRM check a vehicle's mileage or accident history?

No. It cannot verify an odometer reading, confirm accident history, arrange leasing, predict resale value or stand in for a mechanic's inspection or a proper ownership transfer. It records what you already know and already promised, so the financing question a buyer asked on Monday is still in front of you on Thursday.

Should I ask buyers for their NIC or bank details in the chat?

No. Documents for an ownership transfer belong in the proper process with the registration authority, not as photos sitting in a WhatsApp thread. Keep the chat for arranging the visit and confirming what paperwork exists, and hand the rest to the offices that actually handle it.

I have five vehicles on the yard. Is a pipeline board overkill?

The board is not tracking vehicles, it is tracking buyers. Five vehicles can easily mean thirty open conversations across ikman, Marketplace and group re-shares. The stages tell you which of those thirty know the price but have never been asked how they intend to pay.

Can I message everyone who enquired when new stock arrives?

Only people who opted in to hear from you, and campaigns run with conservative sending caps, quiet hours and a per-contact cooldown for that reason. For a purchase this size, filtering the board by a tag like Has trade-in and writing a handful of personal messages usually works better anyway.
