What the tour covers, step by step

Put pipelines, notes, quick replies and schedules in one file — and bring them back on a new computer.

   The extension's own data, in one file

   Backup & restore exports what InboxCRM stores: boards, notes, contacts, profiles, quick replies, schedules, rules, flows and settings. It is NOT the chat archive — that lives on the Chat backup page.

   Read the narration

   This page is about the data InboxCRM itself creates: your pipeline boards, notes, contacts, profiles, quick replies, schedules, auto-attendance rules, workflows and settings. All of it lives inside this browser, so if the computer dies or Chrome is reinstalled, it's gone — unless you have a backup file. One thing it does not include is your WhatsApp chat archive; that has its own page, Chat backup, with its own export.

   Pick what to include

   Each tile is a group of data. Greyed-out groups have nothing in them yet. Select all ticks everything that has data.

   Read the narration

   Export works in groups. Each tile is one kind of data — quick replies, schedules, the CRM boards, contacts, notes, and so on — and the small text underneath lists exactly what's inside. Greyed-out tiles are empty on this computer, so there's nothing to save. Press Select all and every group with data is ticked.

3. 03

   Export selected

   Downloads extino-backup-YYYY-MM-DD-HH-MM-SS.json to your default folder. Keep it somewhere safe — a cloud drive or a USB stick — it contains your customers' data.

   Read the narration

   Then Export selected. A single JSON file downloads to your default folder, named extino-backup with the date and time. Sensitive parts are encrypted inside the file, but treat it as private anyway — it holds your customers' names, numbers and notes. Copy it to a cloud drive or a USB stick, not just the Downloads folder of the same computer you're protecting.

4. 04

   Restore on another computer

   Install InboxCRM, sign in, open Backup & restore and drop the file here. Encrypted keys are decrypted automatically.

   Read the narration

   Moving to a new computer? Install InboxCRM, sign in with your Extino account, open Backup and restore and drop the file into Restore. The extension reads it, decrypts what needs decrypting and writes everything back. When it's done you'll see a line like Restored twelve keys, listing exactly what came back.

5. 05

   Merge or replace — read this before restoring

   By default every group in the file REPLACES what is on this computer. Tick 'Merge instead of replace' for groups you want combined. Groups missing from this list are always replaced.

   Read the narration

   Here's the one thing that can hurt. By default, restoring replaces: every group in the file overwrites the same group on this computer, wholesale. Restore a week-old file onto a computer you've been using, and the cards you added this week are gone. If you want to combine instead — say, add the old contacts and notes to the ones already here — tick those groups under Merge instead of replace before you drop the file. A few groups, like the webhook and AI settings, can't be merged and are always replaced. When in doubt, export the current computer first, then restore.

6. 06

   Let it run by itself

   Automatic backup downloads a JSON to your default folder on a schedule — pick the next date, a time and Daily / Weekly / Monthly, tick the groups, Save schedule. Run now tests it.

   Read the narration

   You won't remember to do this by hand, so don't. The Automatic backup card runs in the background: choose the next date, a time — ten thirty in the morning by default — and whether it repeats daily, weekly or monthly. Tick the groups to include and press Save schedule. The file simply appears in your default download folder each time. Run now lets you test it, and Disable turns it off. The Dashboard shows when the next run is due.

7. 07

   Never lose your work

   Make one export today and set a weekly automatic backup. Remember: chat history is backed up separately on the Chat backup page.

   Read the narration

   That's backup and restore. Do two things today: make one export and put it somewhere safe, and set a weekly automatic backup so you never think about it again. And remember the split — this page protects your CRM data; the Chat backup page protects your WhatsApp conversations.
