The short answer

How to send WhatsApp messages at the right time without staying online to press send

Write the message when you remember it, and let it wait until the customer is awake. Without a tool, save the text in a note and set a phone alarm for the send time. With InboxCRM you pick a chat, write the message and choose a date and time, and it goes out from your own WhatsApp. One rule matters: Chrome must be running with WhatsApp Web open at that time, or nothing is sent.

Why InboxCRM fits this

InboxCRM lets you write now and send later from your own number, with an appointment centre for bookings.

The scheduling tutorial runs on a practice copy of WhatsApp Web in your browser. Nothing is installed and no real customer is messaged.

Step by step

How to send messages at the right time without staying online

Two ways to do it. The first needs no extra software.

With WhatsApp alone

  1. 1Write the message in a notes app as soon as you think of it.
  2. 2Set a phone alarm for the time the customer should read it.
  3. 3When the alarm rings, paste the message and send it.
  4. 4For bookings, send the confirmation the day before, at the same hour every day.

With InboxCRM

  1. 1Open Scheduling from the InboxCRM sidebar.
  2. 2Pick the chat, write the message and choose the date and time.
  3. 3Use the appointment centre to confirm bookings the day before.
  4. 4Leave Chrome running with WhatsApp Web open so the message can go out.

What this does not do

  • Scheduled messages go out only while Chrome is running with WhatsApp Web open. A closed laptop sends nothing.
  • A scheduled message is automated sending, and WhatsApp's terms restrict automation. Message only people who expect to hear from you.
  • InboxCRM runs in desktop Chrome on WhatsApp Web. It does not work in the WhatsApp mobile app.

InboxCRM is an independent product and is not affiliated with, authorized by, endorsed by, or sponsored by WhatsApp or Meta Platforms, Inc. WhatsApp is a trademark of Meta Platforms, Inc.

Common questions

Do I need the WhatsApp Business API to schedule a message?

No. InboxCRM schedules from the account you already use in WhatsApp Web. There is no API account to set up.

What happens if my computer is off at the send time?

The message is not sent. Scheduled items go out only while Chrome is running with WhatsApp Web open.

Can I schedule a status post?

Yes. InboxCRM can schedule status posts as well as messages, with the same rule about Chrome being open.
